- UP.net Email Filtering FAQ -

UP.net is reducing the amount of Spam in your inbox. UP.net will be using Barracuda Network's, Barracuda email filtering engine to protect all of our incoming email. This email filtering engine examines each email message before it arrives in your inbox, and deletes any spam/junk email messages.

UP.net has been committed to reducing the amount of Spam in your inbox. The Spam that you have been finding in your inbox is only about a ? of what you would have if we had filtering turned off. With this new system the amount of Spam in your inbox will be reduced even more.

This FAQ is here to help guide you through using and setting up your personal settings for this new filtering system.

The Barracuda system organizes email into different groups. The system uses tests to organize email into groups. These groups are:

1.  Email that is determined to NOT be spam is sent directly to your inbox.

2.  Email the system is 100% sure of being spam is blocked.

3. Email that the system isn?t 100% sure of being spam but has features similar to spam is delivered to you with [BULK] in the subject line. If these emails were blocked it would result in legitimate email not getting through. Adding the [BULK] tag makes it easy to filter these emails to a junk folder.

4. Email with content that would be considered ?objectionable? is held on the server for your review. It has the tag [QUAR] in the subject line so that it can be easily identified and dealt with.


Now you might be thinking that this is a lot of information to read, just to check your email. Well you don?t have to do anything. Barracuda will filter your email, whether you log into it or not. Except that you might not receive all the email you were expecting and receive spam that you definitely didn?t want. Now if you want to do something about the [BULK] email your getting, you can check out the  FAQ  on how to setup your email program to filter out tagged spam. If you want more control over your email, continue reading.
Here are the instructions to move marked spam (messages with [BULK] in the subject) to a Junk folder in your email program. This should leave only relevant email in your inbox.

Barracuda Outlook Plugin - For those with Outlook you can mark email as spam when checking your email.


- Using Barracuda -

Setting up a User Account

All UP.net email users have access to the personal account management system on the Barracuda server. To use this system you have to setup an account:

Access the Barracuda site from your browser. The web page is www.up.net/Barracuda. There is also a login link on our homepage below the GetMail login. You will see the following login form:



Request a password.

Your username is your regular email address, in the form username@up.net.

IF YOU HAVE NEVER USED THIS SERVICE BEFORE, THE SYSTEM WILL NEED TO ISSUE YOU A PASSWORD.
To request a password, enter your email address in the Username: field and click Create New Password. The system will confirm the operation and a new password will be sent to you in an email message.
This will take a little while. You can also use this to get a reminder if you've forgotten your password.

Login with the password.

Once your password has been emailed to you, return to the login page. This time log in with your email address and the password you just retrieved (or click on the link in the email you received). If everything's working properly the next screen will be the main user account management screen displaying the Quarantine Inbox with other tabbed options. When you leave the system, don't forget to click the Log Off link in the upper right-hand corner, or simply close your browser.


- Setting up Preferences -

Once your account is working there are some basic preferences to set. All of these are available from the Preferences tab. When the Preferences page appears, the default view will show you the Security page, with the other options displayed as a row of links.


Whitelist/Blacklist

This is a list of the email/domain (everything after the @ sign in an email address is the domain) addresses that you want to allow or to block. The Whitelist is everything you want to let through. The Blacklist is everything to be blocked. Click Add for each new entry to record it in the list. Anyone on your Whitelist is always let through and anyone on your Blacklist is always blocked.

TIP: Enter everyone in your address book in the whitelist. That way you can be 100% sure of receiving email from them.

Quarantine Settings

This section of the preferences page gives you the opportunity to turn the quarantine service off and on. If you select "Yes" for Enable Quarantine, then all messages that would otherwise show up as [QUAR] in your inbox will instead be stored on this server. You will have to log into the server to review and act on those messages. If you prefer to have your quarantined messages delivered to your inbox, select "No". Note that if you click "No" there is a chance that questionable messages may find their way into your inbox and you may be exposed to a virus-bearing message. Click Save Changes after you have made your choice.

You can also change how often you receive Quarantine notifications. Options are Daily, Weekly or Never. To learn more about Quarantine Mail, read - Quarantine Notification - below.

Spam Settings

On this page you can enable or disable the filter. "Yes" is the default, and is the recommended option. If you set this to "No" then you will not be protected by Barracuda. Click Save Changes to record your settings.

You can also change how spam mail is handled. By changing the settings in the Spam Scoring section. It's recommended to leave this at default settings. Chang these settings at your own risk. Changing the Block score will cause email to be deleted before you see it. Click Save Chagnes to record your settings.

Password (change password)

You can use this form at any time to change your password. Fill in the fields and then click the Save Password button to activate your changes. You will then be sent back to the login page, where you will be able to log in again with your new password.


- Quarantine Notification -

By default the Quarantine service is enabled. Which means that messages labeled [QUAR] will be kept on the Barracuda server. This way you can look them over at your leisure. In this section you can have the server send you email reports summarizing the contents in your Quarantine box, on a daily or weekly basis. These reports are presented graphically with clickable links. Clicking ?Never? means that you won?t be sent any reports and will have to log in to the server to see what Quarantine email you have. Here?s an example of an email notification:


Managing Quarantined Email

The Quarantine Inbox is your personal display on the Barracuda server of any quarantined mail that has been saved for your review. Here's a screen shot:


This screen has several buttons to control your Quarantine email. The refresh button is just like the refresh/reload button of a browser?s. The filter option lets you list exactly what you want. The left and right controls move the display forward and backwards. Below those buttons there is a row of five buttons. The first three are:

Deliver ? Send the selected email to your inbox.

Whitelist ? Allow all future email from the selected sender to be delivered to your inbox.

Delete - Delete the selected email.

These three functions are also available as links in the Actions column for each entry -- you can use these to apply the action to single messages. The problem with the "Deliver" and "Delete" options is that they affect only the current message, not any future messages with the same profile. For example, choosing to have a quarantined message from a particular source delivered will do nothing to change the fact that the next message from that source will probably get quarantined as well. This just means more work for you. Fortunately there's a better way: taking advantage of Barracuda's ability to learn by example.

Normally the Barracuda filter applies a series of global tests and each tested message receives a cumulative score that determines how the message will be classified. These tests are reasonable approximations of what most users want, but there is a large gray area in between "spam" and "not spam" and you may find that you don't always agree with Barracuda's decisions. The solution to this problem is to feed Barracuda examples of messages you consider to be spam and messages you consider to be valid. This is the purpose of the other two action buttons on this screen:

The more examples you present to the system, the more accurate its tests will become and the number of messages appearing in the Quarantine Inbox will go down. It's important to note that, unlike the whitelist/blacklist feature, this is not a binary, yes/no decision making process. It is instead "fuzzy" and constantly changing, and whether an individual message is ultimately labeled as [BULK] or [QUAR] is a function not of any single test but the cumulative effect of all the tests. What Barracuda is giving you with these tools is a way to influence the criteria used when these tests are applied. As the system learns your needs it will become, from your perspective, more accurate and will require less manual attention from you.
